Adding Employer ID group to My Canadian Tire Bank Learning Portal login page

Prerequisites:

  • * Employer ID / Agent ID: These groups are one level below group "Employers" in group hierarchy. Their parent group should be Employers. Examples of these are K, C ,J, F, and OTD.
  • * Employee Roles: These groups are one level group below Employer ID groups. Their parent group should be the Employer ID. Examples of these are “(en) Field Marketing Representative” and “(fr) External Contact Centre”.
  • * List of Course Name to be auto-enrolled to learners: Learners should be enrolled in 7 courses.
    • Here are the list of ICOM courses for learners who've selected 'Desktop' as version during self-reg (This list excludes the courses in French version):

Steps:

  1. Create Employer ID group (If needed) - If you need a new Employer ID group this is the time to create it.
    1. Log into FiLMS and navigating into People -> Groups. In the left sidebar click “Add New Group”
    2. Set its Organization to “CTB”.
    3. Set its Name to a language safe name (Both french and english learners will navigate through these groups)
    4. Set its Parent Groups to CTB first by clicking on the "CTB". It should be highlighted orange. That way the Employer ID group will not appear under "Agent ID / Employee ID" drop-down menu in self-reg page - you do not want users who self-register with the new Employer ID while you're still configuring. We will go back to modify the Parent groups after everything is set up.
    5. Click the Save button to create new Employer ID group.
  1. Create Classes - For every role, you will need to create 2 Employer Role Groups (one for English and another for French). For every Employer Role Group you've created, you will need to create 7 classes depending on how many courses learner will be enrolled to.
    1. Navigate to Education -> Classes. In the left sidebar, click "Add New Class".
    2. Set its Name according to this format "course_name ~ employer_id ~ (language_code) role_name". For example, the name will be "How to Use This Learning Tool ~ C ~ (en) External Contact Centre" assuming that:
      1. Course Name: How to Use This Learning Tool
      2. Employer ID: C
      3. Language Code: en
      4. Role Name: External Contact Centre
    3. Click the Save button to create new class.
    4. Repeat these steps to create 27 more classes, assuming there are 4 Employer Role Groups and 7 courses to be enrolled.
  1. Create Curriculums - Create 1 new curriculum for each class created.
    1. Navigate to https://myctblearning.com/admin/curriculum_list.php . In the left sidebar, click "Add New Curriculum".
    2. Set its Class based on the ones you have just created.
    3. Set its Structure based on the course name.
    4. Set its Name to be the same as the class's name.
    5. Click the Save button to create new curriculum.
    6. Repeat these steps to create 27 more curriculums, assuming you have created 28 classes.
  2. Create Employee Role groups and auto-enroll curriculums - For every role, you will need to create 2 groups (one for English and another for French)
    1. Navigate to People -> Groups. In the left sidebar, click "Add New Group".
    2. Set its Organization to “CTB”
    3. Set its Name based according to this format "(language_code) role_name". E.g. (en) Field Marketing Representative. The language code is either en/fr depending on the language of the users in the group.
    4. Set its Parent Groups to either Employer ID you created in Step 1 or the Employer ID that your Employee Role belongs in (It should be highlighted orange).
    5. Scroll to the bottom of the page and select the appropriate curriculums (that you've just created) the group’s members should automatically be enrolled in.
    1. Click the Save button to create new Employee Role group.
    2. Repeat these steps to create 3 more groups, assuming the roles are Field Marketing Representative and External Contact Centre. Ideally these groups' names should be:
      1. (en) Field Marketing Representative
      2. (fr) Le Representant Marketing
      3. (en) External Contact Centre
      4. (fr) Centre D'appels
  1. Guidebook Group Assignment - this is for learners who've selected "Mobile" as status during their self-registration.
    1. Navigate to https://myctblearning.com/includes/modules/FM_Guidebook/guidebook/index.html .
    2. Click "CTFS Main Section". You'll redirect to a list of sections which their names begin with "Customer Acquisition...". Click on any one of the sections to continue.
    3. Navigate to menu icon located at your top right of the screen. This will open the utility panel.
    4. Under Editor, toggle on "Edit Mode" to reveal all the settings in the utility panel.
    5. Click on "Assign Groups". A pop-up box consisting of a list of groups will appear.
    6. Look for the Employer ID group you created in Step 1. Click on it to display the Employee Role Groups. Put a checkmark on the appropriate Employee Role Group. For example, if the section name is "Customer Acquisition - Field Marketing Representative - French", the assigned group will be "(fr) Le Representant Marketing".
    7. Click "Close" to close the pop-up and click "Publish" under Editor in the utility panel to save the changes.
    8. Close the utility panel by click the arrow located at the top right (next to section name).
    9. Click the back icon located at the top left to return to the list of sections.
    10. Repeat these steps with other sections.
  2. Set Employer ID group's Parent Group to the correct one
    1. Navigating into People -> Groups.
    2. Search for Employer ID Group you created in Step 1 and click "View" to make changes to it.
    3. Change its Parent groups to Employers by drilling down from CTB and clicking on the “Employers” (It should be highlighted orange).
    4. Click the Save button to save the changes. The Employer ID, along with its role will appear in the self-registration page.
  1. Create Organization for Reporting Purposes (if it's not yet created)
    1. Navigating into People -> Organization. In the left sidebar, click "Add New Custom Report".
    2. Set its name and its code according to this format "*** employer_id Reporting only ***.
    3. Click the Save button to add the new reporting organization.
  2. Create Custom Report (if it's not yet created)
    1. Navigating into Report -> Custom Reports. In the left sidebar, click "Add New Organization".
    2. Set its name and its description according to this format "*** Group employer_id - Enrollment export ***.
    3. Copy its SQL Select, SQL From and and SQL Extra from any of the enrollment export (they are almost the same).
    4. Modify the second line in SQL Extra by replacing its value with the Employer ID.
      1. AND employer_id.value = 'REPLACE_WITH_EMPLOYER_ID'
    1. In Organizations, check on organization CTB and the new reporting organization you created in Step 7.
    2. Click the Save button to add the new custom report. AND YOU'RE DONE!!!
